How to Export the Gantt Chart


Managing complex projects often requires sharing timelines with stakeholders who may not have access to your internal system. To facilitate seamless collaboration and reporting, Flowlu allows you to export your Gantt chart as an XLSX spreadsheet or a PNG image.

Each format serves a specific professional purpose, ensuring your project data remains portable and accessible.

Note: Export to PNG is only available for the Gantt chart of a specific project.

How to Export Your Chart

Exporting is a straightforward process that takes only a few seconds:

  1. Navigate to the Gantt Chart view.
  2. Click on the Download icon located in the upper toolbar.
  3. Select your preferred format (XLSX or PNG) from the dropdown menu.
  4. The file download will trigger automatically.

Before exporting, adjust your view. The system will only export the columns and data rows that are currently visible on your screen. Use the "Columns" setting to hide or show specific data points to ensure your exported file contains all relevant information.

Export in XLSX Format

The XLSX format is ideal when you need to handle raw data or share a functional timeline that requires further calculation. Use this format to:

  • Collaborate with external stakeholders: Send project schedules to contractors, vendors, or clients who need a detailed breakdown of milestones and task dependencies.
  • Perform external editing: Fine-tune your project plan using MS Excel or Google Sheets. This is particularly useful for "what-if" scenarios or temporary adjustments that don't need to be reflected in the live system.
  • Data portability & ERP integration: Effortlessly migrate your project structures into other ERP, CRM, or specialized analytical systems.
  • Advanced reporting: Use the project data to build custom pivot tables, financial forecasts, or comprehensive quarterly reports for executive reviews.

Export in PNG Format

The PNG format (image) is best suited for visual communication and documentation where the data does not need to be manipulated. Exporting as an image allows you to:

  • Hard copy documentation: Print high-resolution charts to include in physical project folders, contracts, or legal documentation.
  • Presentations & case studies: Insert visual timelines into PowerPoint presentations, marketing materials, or portfolio case studies to demonstrate your project management expertise and workflow structure.
  • Quick status updates: Share a "snapshot" of the current project progress via email or corporate messengers for a quick visual pulse check.
