Managing Invoices


Accessing the Invoices Section

  1. From the bottom navigation bar, tap on Modules.
  2. In the main menu, tap on the Finance section to expand it.
  3. Select Invoices.

This will take you to the Invoices list, which displays all invoices in your account.

The Invoices List View

The main Invoices screen provides a complete overview and tools to organize your view:

  • Switch Views: Tap the "Invoices" dropdown at the top to switch between your main Invoices list and your Invoice Templates.
  • Search: Use the search bar to quickly find a specific invoice.
  • Create New: Tap the plus (+) icon in the top-right corner to create a new invoice.
  • Filters: Tap the Filters button at the bottom to narrow down the list by criteria like Invoice Amount, Status, Issue Date, and more.
  • Settings: Tap the three-dot icon next to Filters to open the Settings panel, where you can Group by or Sort the invoice list.

Creating a New Invoice

To create and issue a new invoice on the go:

  1. From the Invoices list, tap the plus (+) icon in the top-right corner.
  2. On the Create Invoice screen, fill in the necessary details:
    • Select a Customer.
    • Set the Issue Date and Due Date.
    • In the Products section, add line items. Tap Add Another Line for multiple items.
    • Optionally, add a Discount, Taxes, Shipping Charges, or an Adjustment.
  3. Review the Total amount.
  4. Tap Save to create the invoice.

Viewing and Managing an Individual Invoice

Tap on any invoice from the list to open its detail page. This page is organized into several tabs:

  • Main: Displays all core invoice information, including the invoice number, status (e.g., Overdue, Paid), amounts (Total, Paid, Balance Due), Payer details, and the list of items. From here, you can also Approve or Reject the invoice and use the Send to button.
  • Preview: Shows you exactly how the invoice will look to your customer.
  • Customer: Provides detailed contact and organization information for the payer.
  • Transactions: Lists all payments or other financial transactions linked to the invoice.
  • Files: Allows you to view or upload related documents.

Invoice Actions

From the detailed view of an invoice, tap the three-dot menu in the top-right corner to access more actions:

  • Copy link
  • Share
  • Download Invoice
  • Duplicate (to create a new, similar invoice)
  • Edit
  • Delete

Using Invoice Templates

To save time, you can create and use templates for recurring invoice types.

  1. Access Templates: From the main Invoices list, tap the dropdown at the top of the screen and select Invoice Templates.
  2. Create a Template: On the Invoice Templates screen, tap the Add button (or the + icon).
  3. Fill out the Create Template form with a Template Name, default line items, pricing, and Terms & Conditions.
  4. Tap Save. Your new template will be available for creating new invoices in the future.
