Managing Tasks


The Tasks module in the mobile app allows you to manage your work, collaborate with your team, and stay on top of your assignments from anywhere. This article explains how to navigate, view, create, and manage your tasks.

Navigation and Task Views

To access your tasks, open the Modules tab from the bottom menu and select Tasks. Inside, your tasks are organized into several views:

  • Kanban board: A visual board where tasks are organized by their status columns.
  • Assigned to me: All tasks for which you are the assignee.
  • Assigned by me: All tasks you have created and delegated to others.
  • I'm a follower: Tasks you are following to monitor progress.
  • Need my approval: Tasks that require your approval.
  • Waiting owner's approval: Tasks awaiting approval from the owner.
  • Completed tasks: A list of all finished tasks.
  • All tasks: A comprehensive list of every task you have access to.

Within a task list, such as a workflow or "All My Tasks", you can switch between two display modes using the icons in the top-right header.

  • List View: Displays tasks in a vertical list, showing the task name, dates, and related project.
  • Board View: Organizes tasks into columns based on their workflow stage. Each column header shows the stage name, task count, and total estimated time.

Filtering and Sorting Tasks

To refine your task list, you can apply filters or change the sorting.

Use the Filter icon to open the Filters menu. You can filter tasks by:

  • Owner
  • Assignee
  • Project
  • Priority
  • End Date
  • Group
  • Tags

Use the Settings icon to open the Settings menu. From here, you can adjust the following:

  • Split columns by
  • Sort

Managing an Individual Task

Tapping on a task card opens its detailed page. The page is organized into Description, Time Spent, and Files tabs. From here, you can perform several actions:

  • Change the task's status from the dropdown menu (e.g., "To Do").
  • Mark the task as finished by tapping the Complete button.
  • Track time by using the Start and Stop buttons.
  • Add a checklist to break the task into smaller steps.
  • Add Collaborators and Followers.
  • View and edit the task's Owner and Assignee.
  • Write and view comments.

By tapping the three-dot menu in the top-right corner of the task screen, you can access more options:

  • Copy link
  • Share
  • Convert to milestone
  • Delegate
  • Edit
  • Delete

Creating a New Task

To create a new task:

  1. From a task list view, tap the plus (+) icon.
  2. On the Add Task screen, fill in the task details. The available fields are:
    • Template
    • Name
    • Task Description
    • Owner
    • Assignee
    • Collaborators
    • Followers
    • Start Date
  3. You can also use the Attach Files button to add attachments.
  4. Tap Save to create the task.
