Business Processes
The Business Processes module in the Flowlu mobile app allows you to participate in and manage structured, automated workflows from anywhere. It is designed to streamline multi-step operations like approvals, requests, and onboarding, ensuring that tasks are seamlessly passed between employees without anything getting lost.
This guide explains how to interact with business processes, whether you are completing an assigned task or overseeing an entire workflow.
Two Ways to Interact with Business Processes
The mobile app provides two primary entry points depending on your role:
- My tasks: For users who need to complete a specific step within a process.
- Business processes: For managers or users who need to view the overall progress of all process instances.
First Way: Completing Your Assigned Tasks
When a business process requires your action (e.g., you need to approve a request), a task will be assigned to you.
How to Access Your Tasks:
- From the bottom navigation bar, tap on Modules.
- Locate and expand the Business Processes section.
- Select My tasks.
This will open a list of all business process tasks currently assigned to you.
How to Action a Task:
- From the My tasks list, tap on the task you need to complete (e.g., "Review employee's PTO request").
- The task detail screen will open, providing a description of what is required.
- You will see specific action buttons related to the process, such as Approve and Deny.
- Tap the appropriate button to complete your part of the process. The process will then automatically move to the next stage or be completed.

Second Way: Viewing and Managing a Business Process
This section is for overseeing the status of all active instances within a specific business process.
How to Access a Business Process:
- From the Modules screen, expand the Business Processes section.
- Select Business processes. This will display a list of all available processes.
- Tap on a process name to open its board view.

Navigating the Process Board:
The process board gives you a visual overview of all active items (instances), organized into columns that represent the stages of the workflow.
- Stages: Each column is a stage (e.g., "PTO Request," "Manager Approval").
- Instances: Each card on the board is a single instance of the process (e.g., one employee's specific PTO request).
- Filtering and Sorting: Use the Filters and Settings icons at the bottom of the screen to narrow down the view by criteria like Owner or to Group by specific fields.
- Switching Views: Use the dropdown menu at the top to switch between the main board and the Archive to see completed or archived instances.

How to Launch a New Process
You can start a new instance of any business process directly from the mobile app.
- Navigate to the specific process board you want to launch (e.g., "PTO Request").
- Tap the plus (+) icon in the top-right corner.
- The creation form for that specific process will appear.
- Fill in the required fields, which are customized for that process (e.g., Employee, Time-Off Request (Days), Reason For Request).
- Tap Save to launch the new instance. It will appear as a new card in the first stage of the process board.
