Import CRM Contacts



To import contacts, go to CRM  Contacts page and select the import option.

Step #1. Import Settings

  • Upload a file with the contacts;
  • Select the file encoding (we recommend setting the Auto-Detect option);
  • Select the field separator for your file (the most frequently used is a comma);
  • If the first line in your file contains field names (titles), check this option;
  • Set a default owner (assignee) for your contacts, if required;
  • For a proper search for a responsible specify the name format (optional).

Step #2. Field Matching

As soon as the file is uploaded, an active Next button will appear at the bottom right of the form. Click on it and go to the field matching settings.

If your file has been correctly recognized by the system, then you will see blocks arranged horizontally, each of which corresponds to a column in your file.

Note: If you see a different picture, then the file was not recognized correctly - check the selection of the field separator at the Step 1. If you cannot solve the problem, please contact our support service by email: [email protected] or via the support chat.

Next, select the Flowlu field in which the field data of the imported file will be written. If you want to skip the field, then leave the skip option active.

Please note that if you upload contacts with companies, you should specify the Company field for each contact, where the company name should be indicated, and you can also add the main company fields. The Position field belongs to the company fields array, because your contact may be in different companies with different positions.

After setting the field matching, click Next.

Step #3. Duplicate Control Settings

If some companies or contacts already exist in Flowlu, the system will find them (if possible) and process them according to the selected option:

  • Allow (All data will be imported without duplicates);
  • Replace (All fields will be replaced with imported data);
  • Merge (All empty fields will be replaced with imported data);
  • Skip (Duplicate records will be skipped).

Select the required option and start the import with the Next button.

After a successful import, you will see a confirmation page and you can proceed to work with contacts.

Importing Contacts Linked to Companies

If you are uploading contacts along with companies, these two entities can be linked in several ways:

  • Upload contacts and link them to the required companies manually;
  • Map contact fields with company fields during step #2.

Each row of the table corresponds to one contact, a row can be linked to only one company.

The system searches for existing companies based on fields with the following priority levels:

  1. Business Tax ID;
  2. VAT #2;
  3. Other ID;
  4. Full Legal Name;
  5. Phone;
  6. Email.

Important: Any match is sufficient to link a company. Priority levels apply only if a single contact contains data belonging to different companies.

Example: If two counterparties are found in the database - one with a matching Business Tax ID and another with a matching Email, the contact will be linked to the company with the Business Tax ID match.

To link a contact to several companies, simply duplicate the contact in the source file and specify fields for different companies in each row. In this case, the contact in the system will be linked to all specified companies.

If a company is not found based on the provided details, the system will create it automatically and link it to the contact.
