Workload in Time Tracker



This report helps track team workload based on tasks and estimated time.

By default, the Workload report is enabled when the "Time Tracker" module is installed. If necessary, you can toggle it on or off in the module settings.

Where to Find the Workload Report

The report is available in the Time Tracker module in the left sidebar.

If the module is not in the sidebar, click the More button, then select Time Tracker from the menu that appears.

You can also find the Workload in Reports. Go to Reports -> Time Tracker -> Workload.

Access Rights

Users will see different data depending on their access level:

  • Employees can see their own workload for tasks where they are the assignee.
  • Managers and Administrators of the Time Tracker module can see the team's workload across the entire portal. When clicking on a workload color indicator, the user will only see tasks they have permission to view.

Tip: Set up a filter by employee to monitor the workload of your specific team.

What Is Shown in the Report

The Workload report shows how employee workload is distributed by days or weeks and helps identify overloads or free slots in time.

Report Settings

To change Workload report settings, click the gear icon in the upper right corner.

In the settings, you can include:

  • completed tasks;
  • subtasks;
  • holidays.

Data View Types

The system allows you to choose the view type:

  • Number of tasks — shows how many tasks an employee has for a specific period.
  • Planned hours — the total number of hours planned for all tasks within a week or day.

You can also choose the period for which to show data: 2 months or 2 weeks. Use the arrows to switch between periods.

For visual planning, the estimated hours of each task are distributed evenly across all working days within the set timeframe.

Formula for distributing hours of a single task:

Daily Estimated Hours = Total Estimated Time of the task / Number of working days in its duration.

Note: Weekends or holidays falling within the task duration are automatically excluded and not counted as working days. If the start date or deadline of a task is set on a weekend, the system will include that day in the calculation. In the report, it will be automatically highlighted as a day with overload, signaling a possible error in deadline planning.

    Color identification is based on estimated time, regardless of the number of tasks. If the number of estimated hours exceeds the number of working hours, the indicator turns red, signifying an overload for the employee.

    You can configure the company's work schedule and working hours in the Portal Settings.

    Click on the color indicator to open the employee's task list. Details for each task are also available for viewing there.

    Using the Filter, you can display only the necessary tasks — for example, by project, status, or assignee.
