Projects: Main Settings
Before you start working with projects, check out the module settings. They allow you to activate additional features and adapt the module to your workflow.
Where are the module settings located?
You can open the "Projects" settings in several ways from different locations in the system.
Method 1: Via Portal Settings
This method is available to portal administrators.
Click on your avatar in the upper right corner of the screen and select "Portal Settings" from the context menu.

Go to Portal Settings → Projects → Main Settings.

Method 2: Via the Side Menu
This method is available to users with "Administrator" rights for the "Projects" module.
Hover over the "Projects" module in the side menu. In the tab that appears, click on "Settings".

Method 3: Within the Projects Module
Users with "Administrator" access level to the "Projects" module will see a gear icon on any screen within the module. Clicking it opens the module settings.

What can be configured in "Projects"?
In the main settings of the module, you will find options that affect the user experience. Most of them are activated by default. Check or uncheck the boxes as needed and remember to save your changes.
Automatically move the project to the next stage
This option helps managers save time. The project will automatically advance to the next stage based on selected conditions. You can choose the transition conditions or disable this feature via the selector:
- All checklist items are completed
- All tasks are completed
- All milestones are completed
- Don’t move automatically (manual only)

Employees have access to all projects
Note: In this context, "employees" refers to users with the "Project Manager" access level to the module.
- When activated, this option allows all users with "Project Manager" access to view all projects in the system.
- If inactive, they will only see projects where they are assigned as the manager.
Allow viewing project emails
Emails can be linked to projects or specific project tasks in Flowlu through Email integration. This option enables project participants (who don't have direct access to the connected mailbox) to view the original email. For example, if only the project manager has access to the mailbox, enabling this allows other team members involved in the project to see the relevant correspondence.
Allow deletion of active projects
If activated, you can delete projects in any status, including active and completed ones.
Important: Projects in Flowlu are deleted permanently and cannot be recovered.

You can also choose to delete all tasks created within the project by toggling the corresponding switch during deletion.
Highlight overdue projects in red on the board
This adds a red highlighting to the cards of active projects whose deadlines have passed. This makes it easier for your team to identify overdue projects and take action.

Display attached images on the project card (Kanban board)
If enabled, the first image attached to the project files will be displayed on the card in Kanban mode. This helps you visually identify specific projects on the board more quickly.

Use financial management in projects
When enabled, the "Projects" module is linked to the "Finance" module. You can track financial data directly within the project, specifically by creating planned income and expenses.
Important: The "Finance" tab in a project is only visible to users who have access rights to the "Finance" module.

Data entered here will be reflected in the Payment Calendar.
Display finances on the project main page
If active, a financial summary block will appear on the project overview page. This allows the project manager or supervisor to quickly assess the project's financial health and profitability.

Managers can create income and expenses
- If activated: The project manager can create income and expense entries within the project regardless of whether they have access rights to the specific bank accounts.
- If inactive: The project manager can only create financial entries if they have been granted explicit access to the organization's bank accounts.
