Action: Create Event

1. To add an event automatically, click the "Create" button and select "Event."

2. Enter a name for your automation. This should briefly outline your automated action, for example, "Call a Client". It will be displayed on the automation board.

3. In the Run field, choose a time when specific action (sending notification) will occur:

  • Immediately.
  • X minutes/days/hours after the Current time, End Date.
  • X minutes/days/hours before the End Date.

    5. Add the condition that must be met for your rule to continue running. For instance, the notification should be created only if the project amount is more than $5.000. To create a condition, select a project field and custom values for the condition.

    6. After previous automation rule. You may set up the sequence of automation rules. This option empowers you to create a sequence of actions when your rule shouldn’t be run before the previous rule is applied.

    7. Specify the type of event, i.e. appointment, call or email.

    8. Add a name and description of your event. In Flowlu, you can automatically replace data with information provided in the project, by which this event will be created. For this purpose, use variables, which can be found by clicking on "three dots" button on the right. All main fields of the opportunity as well as custom fields can be used in the variables.

    9. Specify the start and end dates of the event:

    • Current time
    • N minutes/hours/day after the current time, start/end date of the project, as well as Completed and Opened dates for projects.
    • N minutes/hours/day before the current time, start/end date of the project, as well as Completed and Opened dates for projects.
    • Project Start date or End date, as well as Completed and Opened dates for projects.

    10. Add participants to the event. For example, use the "Project: Manager" variable to automatically replace the assignee with the one from each specific project. Instead of choosing several participants at once, specify a certain user role.

    11. Select a calendar to display this event.

    12. Select Save to apply your changes.
