How to Migrate Your Data from Monday.com to Flowlu



This guide provides a detailed, step-by-step process for successfully moving your projects, tasks, and CRM data from Monday.com to Flowlu.

Since there is no direct migration tool between these two services, the process involves exporting your data from Monday.com and then importing it into Flowlu using CSV files. For highly complex migrations, you can also consider using our API for a custom solution.

Stage 1: Prepare for Migration

Thorough preparation is the key to a smooth transition. Before you move any data, complete these essential setup steps.

Analyze and clean your Monday.com account.

Identify Critical Data: Review your Monday.com boards, dashboards, and workspaces. Decide what information is essential to your current operations and what can be archived. This is a perfect opportunity to clean up old projects and irrelevant data.

Handle Complex Columns: Monday.com columns like "Formula," "Mirror," or "Link to Item" cannot be directly imported into Flowlu. Before exporting, you must convert the data in these columns into simple text or number formats.

    Set Up Your Flowlu Workspace

    Configure Your Modules: Before importing, ensure all the modules you need are active. You will be mapping your Monday.com boards to specific Flowlu modules like Projects for project management, the CRM for customer data and sales pipelines, and Tasks for your to-do lists.     Add Your Users: Invite all your team members to your Flowlu account. To assign tasks and other records to the correct people during the import, their user accounts must already exist in the system.

    Create Custom Fields (Crucial Step): This is the most important preparatory step. Identify all the custom columns you use in Monday.com. You must create corresponding custom fields in Flowlu before you begin importing. Go to Portal SettingsCustom Fields to add new fields for projects, tasks, opportunities, and more.

    Important: The standard CSV import process currently supports creating and populating custom fields of the following types only: Text Field, Text Area, Whole Number, Price, Date, Date and Time, User, and Yes/No.

    If your Monday.com boards use other field types (like dropdowns, status lists, or linked items), you have two main options:

    • During preparation, convert the data from these complex columns into a simple text format and import it into a "Text Field" or "Text Area" in Flowlu to preserve the information.
    • Use the Flowlu API for a more advanced migration that can handle creating and populating complex field types like lists and catalogs.

    Stage 2: Export Data from Monday.com

    The primary method for extracting your data is by exporting your boards to Excel, which can then be easily saved as a CSV file.

    To Export an Individual Board:

    1. Open the board you wish to export.
    2. Click the three-dot menu icon in the top-right corner.
    3. Select "More actions" and then "Export board to Excel."
    4. Pro Tip: If you export a board with sub-items, Monday.com often places them in a separate sheet. You may need to import these as a separate batch of tasks and link them to their parent tasks in Flowlu after the main import.

    To Export the Entire Account (Admin Only):

    1. As an account administrator, navigate to the Administration section.
    2. Under the General tab, find the Account Data section.
    3. Click "Export" to request a full export of your account's data.
    4. You will receive an email with a download link for a .zip archive. This link is only valid for 24 hours.

    Stage 3: Prepare and Import Data into Flowlu

    Prepare Your CSV Files

    Separate Data by Type: Flowlu imports different record types separately. You will need to create individual CSV files for each data type you want to migrate, such as:

    • CRM Contacts & Organizations
    • CRM Opportunities (Sales Deals)
    • Tasks
    • Products & Services
    • Financial Records (Payments/Expenses)

    Clean and Format: Open each Excel file and save it as a CSV (UTF-8 encoding is recommended). The first row of your file must contain the column headers (e.g., "Task Name," "Assignee," "Due Date"). Ensure the data is consistent.

    The Import Process in Flowlu

    1. Navigate to the appropriate section in Flowlu (e.g., Tasks, or CRM -> Contacts).
    2. Find the three-dot menu or settings icon and select the "Import" option. Note: The "Import" module must be installed from the Marketplace.
    3. Upload your prepared CSV file.
    4. Map Your Fields: This is the most critical part of the import. Carefully match the columns from your CSV file to the corresponding fields in Flowlu, including the custom fields you created earlier.
    5. Run a Test Import: For large datasets, we highly recommend importing a small sample file (10-20 rows) first to verify that all fields are mapped correctly.

    Stage 4: Post-Migration Checklist

    After your data has been imported, complete these final steps to ensure your team is ready to work in Flowlu.

    Verify Your Data: Perform a spot-check on several projects and contacts. Confirm that data like assignees, dates, and custom field information appears as expected. Your tasks will be visible in various views, including a Kanban board similar to Monday.com's layout.

    Recreate Automations and Integrations: Monday.com's "Automations" and "Integrations" will not be migrated. You must manually rebuild them in Flowlu.

    • For workflow automation (e.g., "when status changes, notify someone"), use Flowlu's built-in Automation Rules for CRM, Tasks, and Projects. You can set triggers and actions like creating tasks, sending emails, or posting notifications.
    • For connecting third-party apps, browse our list of integrations or use a service like Make.com or Zapier for wider connectivity.
